With the rapid advancement of artificial intelligence, its influence is being felt across industries worldwide. From accelerating and streamlining processes to enabling high-speed data analysis beyond human capability, A.I. is becoming increasingly integrated into both our daily lives and the modern workplace.

How E.T. Bookkeeping uses artificial intelligence — and why your work is still handled, reviewed, and signed off by real people.

Human-Led, AI-Assisted
At ETFS People First, AI to help us along. Every tax return, bookkeeping file, payroll run, and client communication at E.T. Bookkeeping and Tax Services Corporation is prepared, reviewed, and approved by qualified human staff. AI is used only as a supporting tool — to speed up routine work, organize data, and keep our flows and CRM tidy. It never replaces the judgment, accountability, or sign-off of our team.
1. What we use AI for
AI is used as a productivity assistant inside our internal systems. Typical uses include:
  • CRM & workflow automation — keeping client records, statuses, and deadlines organized.
  • Document intake (OCR) — reading uploaded receipts, slips, and IDs so staff don't re-key data.
  • Drafting assistance — first drafts of routine emails, summaries, and checklists that staff edit and approve before sending.
  • Categorization & reminders — suggesting expense categories, deadlines, and follow-ups for staff to confirm.
  • Compliance & audit checks — flagging anomalies in bookkeeping or payroll for a human to investigate.
  • Scheduling & appointment prep — surfacing prep items and conflicts in our Smart Scheduler.


2. Our internal AI assistants
To be transparent, here are the AI assistants we use inside our portal. Each one is a tool our staff operate — not a decision-maker.
  1. Ariel M. An On-boarding helper — guides new clients through profile setup. Staff verify all data before activation.
  2. Frankfurt An Internal staff assistant — answers procedural questions and helps locate records. No client-facing decisions.
  3. Ophelia A Bookkeeping & CRA compliance auditor — flags potential issues for a human bookkeeper to review.
  4. Alsiah AI A Drafting and summarization helper for documents and notes. Output is always reviewed by staff.

3. What AI does not do
  • AI does not file your tax return on its own. A qualified preparer reviews, signs, and files.
  • AI does not approve payments, refunds, credits, or adjustments without staff authorization.
  • AI does not provide professional tax, legal, or financial advice. That comes from our team.
  • AI does not make hiring, billing, collections, or compliance decisions on its own.
  • AI is not used to make automated decisions that produce legal effects about you without human review.


4. Privacy & how your data is handled
  • We take care to protect your information when AI is used:
  • Sensitive identifiers (such as full SINs) are masked or excluded from AI prompts wherever possible.
  • AI processing happens within secured, access-controlled systems used by our staff.
  • Your data is not sold, and we do not allow third-party AI providers to train their public models on your personal information.
  • All AI use remains subject to our Terms & Conditions and Canadian privacy obligations (PIPEDA / provincial equivalents).


5. Accuracy & human oversight
AI suggestions can be wrong. That is why every AI-assisted output — a categorized expense, a draft email, a flagged compliance issue, an auto-extracted amount from a slip — is checked by a member of our team before it affects your file or leaves our office. If you ever receive something that looks incorrect, please contact us and a person will fix it.

6. Your choices
If you would prefer that we minimize* AI-assisted processing on your file (for example, opting out of AI-assisted document extraction or AI-drafted communications), let us know in writing and we will accommodate your request where reasonably possible. Core regulatory work — such as filings, audits, and statutory reporting — will still be performed by our human team either way. (*does not mean 0% AI use)
